PLANNING CALENDAR PROCEDURE CHECKLIST
START HERE!
This is just what I do. Use one of the experts for the overall best ways to do it.
You can do these in this order, which is best, I think. Or you can do this in any order, but make sure you do them all! (Check them off!)
Use the Google Calendar
__ Do as much of your planning in the main google calendar
__ If you also use iPad, iPhone, you may want to modify entries from those into more
detail and coloring when you are on your regular computer.
Standard structure (See
__ Assign colors to each type (Personal physical/emotional health, productivity time block, eat-prep, family/spouse time, open/leisure time)
__ Enter all standard month tasks ("Plan for month", rejuvenation days)
__ Enter all yearly standard tasks (Quarterly plan, yearly plan)
Year planning (Some people may prefer first to do the "overall" on paper.)
__ List goals, projects, planned events for the year (or whatever time period).
__ Vacations
__ Transfer to calendar (Using "All Day", so it appears at top so know which days are occupied)
__ Put in tasks involved in projects, goals, event, etc.
__ Use standard checklists for projects
__ Enter tasks in order, with lead times built in (use standard lead times as basis)
__ With standard times (writing page, email, prep agenda, etc. - adjust calendar for
actual time as you discover, then correct on the standard list)
Weekly planning (Use calendar to do list or use paper and then enter all details into calendar, then throw away the paper copy; ok though to use a planner notebook system)
__ Adjust the calendar as needed, moving around boxes as needed
__ Add in tasks for the week (making sure you have free time, too!)
__ Events/appointments should have already been entered (since coloring does not go to the iOS devices, I write "APPT" before the description)
Daily planning (though some people just sketch this out on paper, with a list of tasks and the times slot filled in, I might do the list but enter it directly into the calendar)
